How much time do you spend in
meetings each week? Is this time
productive? The following tips will keep your meetings
on target, on task, and on time.
1. Publish an
Agenda In Advance
Planning an effective meeting
includes publishing an agenda with estimated times for
each topic, designated speakers as appropriate and
background information if required. Microsoft Word(c)
includes an Agenda Wizard that walks you through the
process and optionally provides a format for capturing
action items and notes.
2.
Include the 'Right' People with the 'Right'
Skills
Does everyone need to
attend this meeting? Or does everyone need to attend the
entire meeting? Do you have the correct representation
of skills, interests, and ideas?
3. Know
the Desired Outcomes
What type
of meeting is this intended to be; decision-making,
problem-solving, brainstorming, information gathering,
social networking, training or project/status report?
What specific decisions or actions need to happen by the
close of the meeting?
4.
Understand the Ground Rules
Make sure
everyone is playing with the same rulebook. Meetings
start on time, silence mobile devices, everyone is
prepared to discuss their area or agenda item, active
listening encourages participation, and other ground
rules appropriate to your environment.
5. Meet When
Necessary
Meet only when necessary and/or for
as long as needed.
